Purchase order ledger
Every order you file on this computer. Search it, change the status when the box arrives, and export a CSV your bookkeeper can open.
How to use the statuses
Leave a new order as draft until you actually email the PDF. Move it to sent the day the vendor has it. Partly received is for the backorder, not for a feeling that it might be on a truck. Received means you counted it. Closed means the bill was matched and you are done arguing. Cancelled keeps the number retired.
The ledger is not a receiving dock. If a line arrived short, write the count in the order notes when you open it. That sentence is what you will want when the invoice asks for the full quantity. The three-way match guide shows the arithmetic.
Questions
Why can't I see an order I made yesterday?
It was saved in that browser profile. Another browser, a phone, or a private window has its own empty ledger. Export CSV if the order needs to leave this computer.
Can I send the ledger to a bookkeeper?
Yes. Export CSV. Each row is one purchase order, with subtotal, discount, tax, shipping, and total. Amounts in different currencies are not converted.
What do the statuses mean?
Draft has not been sent. Sent means the vendor has the order. Partly received means some of it arrived. Received means the goods or service arrived. Closed means you matched it and finished, usually by paying. Cancelled means you will not reuse the number.
Does the total mix US and Canadian dollars?
No. Totals are grouped by currency code. A USD order and a CAD order stay in separate sums.
